Check the actual Amazon tax invoice. Many UK-established sellers receive fee invoices with local VAT after Amazon's 2024 VAT treatment update, so those costs may need a VAT on expenses code. Reverse charge can still apply in some overseas or non-established scenarios. Because this affects VAT return boxes, confirm the correct treatment before enabling auto-posting.
If you want Xero to show gross profit instead of only revenue and fees, you need some form of COGS tracking. A2X COGS can work well for sellers with clear SKU costs. Larger sellers may need an inventory app to manage landed cost, batches, bundles, multi-channel stock and stock adjustments.
The Amazon clearing account is a temporary account used to match A2X settlement postings against the actual Amazon bank deposits. The settlement entry increases or decreases the clearing account, and the bank payout clears it. A remaining balance usually indicates reserves, timing, FX differences or missing postings.
Xero can support multi-currency and custom tax rates, but Amazon EU and Pan-EU VAT can become complex because stock storage, customer location and marketplace rules may create additional VAT obligations. Use tracking categories and marketplace-specific mapping, and get specialist VAT advice before scaling Pan-EU FBA.
Reconcile after every settlement and run a full review monthly. This keeps the Amazon clearing account clean, catches missing settlements early and makes VAT quarter-end much easier.
Both Xero and QuickBooks can work for Amazon sellers when paired with a strong integration like A2X.
